Privacy policy

This policy explains what information Butterfield Luxury Travel collects through butterfieldtravel.com and while planning your trip, how it's used, and the choices you have. Butterfield Luxury Travel is owned by Emily Butterfield, a travel advisor and independent affiliate of Fora Travel, Inc. ("Fora"). What I collect

When you send me a note. The "Send me a note" form on this site asks for your name, email, an optional phone number and your message. It's delivered to my email inbox. The site itself doesn't keep a copy. To measure my Facebook and Instagram ads, the site also tells Meta that a note was sent, along with a scrambled (hashed) version of your email and phone number that Meta can match to its own accounts but can't read back as text.

When you fill out a planning or contact form. The "Book with Emily" and planning buttons open forms hosted by Fora. What you enter there (contact details, trip ideas, dates, travelers, budget and preferences) goes into Fora's secure system, where I use it to plan and book your trip. Fora's handling of that information is covered by Fora's privacy policy.

When you fill out a form in one of my Google ads. Google sends me the details you enter (such as your name, email and phone number), and I keep them in a private Google Sheet so I can get back to you.

When we work together. To book travel, I may need details such as traveler names, dates of birth, passport information, loyalty numbers, dietary needs, accessibility needs and payment details. Please don't send passport or card numbers by email or text. I'll send you Fora's secure form for those.

When you email or message me. I keep our emails and messages so I can follow up and look after your trip.

When you browse this site. Analytics tools record things like the pages you visit, how you got here, your device and browser type, your approximate location (from your IP address) and how you move around a page. See "Cookies and analytics" below.

How I use it

• To answer your questions and plan, book and look after your trip
• To send you trip documents, reminders and the occasional check-in before and after you travel
• To meet legal, tax and accounting requirements
• To understand which pages and articles people find useful, and to improve the site
• To measure whether my advertising works, if I'm running ads

I don't sell your personal information, and I don't share it with anyone for their own marketing.

Who I share it with

• Fora Travel, Inc., which provides the booking platform, client records, payment processing and the forms on this site.
• The travel companies booking your trip, such as hotels, cruise lines, airlines, tour operators and local partners, who need your details to provide the services you've booked. Each has its own privacy policy, and some are outside the United States.
• Service providers that run this site and my business: Cloudflare (website hosting, security and email delivery), Google (email, Google Analytics and Google Tag Manager), Microsoft (Clarity analytics) and Meta (the Meta Pixel, for Facebook and Instagram ads).
• Authorities, when the law requires it, or to protect someone's safety.

Cookies and analytics

This site uses Google Analytics and Google Tag Manager to count visits and see which pages are read, and Microsoft Clarity, which records how visitors scroll and click so I can spot pages that are hard to use. These tools use cookies and similar technology. If I run Google ads, Google may also use cookies to tell me whether an ad led to a visit. The Meta Pixel tells Meta (Facebook and Instagram) which pages you view here, so I can measure my ads on those apps and show them to people who have visited this site. Fonts load from Google Fonts, which receives your IP address.

You can block or delete cookies in your browser settings, or install the Google Analytics opt-out add-on. You can turn off ads based on your activity in your Meta ad preferences. You can read how Google, Microsoft and Meta use this data. The site works without these cookies.

How long I keep it

I keep notes and enquiries for as long as they're useful for answering you or planning a trip with you. Booking records are kept as long as tax, accounting and travel-industry rules require. When I no longer need something, I delete it.

Your choices and rights

You can ask me what information I hold about you, ask me to correct it, or ask me to delete it, except where I have to keep it for legal or accounting reasons. You can unsubscribe from any email I send by replying to it. Depending on where you live (for example California, other US states, the UK or the European Union), you may have further rights under local law, and I'll honor them. I won't treat you differently for using them. To make a request, email [email protected].

Keeping it safe

The site is served over an encrypted connection, payment and passport details go through Fora's secure systems rather than email. No system is perfectly secure, but I'll tell you promptly if something goes wrong that affects your information.

Children

This site is meant for adults. I don't knowingly collect information from children under 13 online. Details about children traveling with you come from a parent or guardian, and I use them only to book the trip.

Links to other sites

This site links to Fora, Instagram, Pinterest, LinkedIn and travel partners. Their own privacy policies apply once you're on their sites.

Changes to this policy

If this policy changes, I'll post the new version here and update the date at the top.
